New York University Abu Dhabi (NYUAD) seeks to appoint an Academic Reviews Coordinator reporting to the Director, Office of Academic Appointments.
This role provides administrative support to the office of Academic Appointments. Under the direction of the Director of Academic Appointments this position provides coordination and administrative support for the following programs; Academic Reviews for Promotion & Tenure, Third Year, Continuing Contract Faculty and Academic Staff. Additionally, this role
coordinates the Annual Faculty Activity Reporting process, Visiting Scholar Appointments and Faculty Leave. This position provides record management and tracking of all approval requests between the NYUAD Provost Office and the NYU Provost Office.
Key Responsibilities:
Promotion & Tenure
- Coordinate the collection and sharing of dockets and other records relating to the promotion & tenure program
- Maintain and update Interfolio system and share cases with appropriate people
- Assist in the scheduling of meetings including room bookings, catering and AV requirement
- Coordinate the scheduling of travel arrangements for committee members
- Ensure the promotion & tenure letters and files are complete
- Prepare and coordinate approvals of promotion & tenure outcome decision memos & letters
- Ensure the academic appointment records in Workday are correctly updated following the completion of the cycle and for any amendments to dates made
Academic Reviews
- Coordinate the collection and sharing of dockets and other records relating to the promotion and renewal of Continuing Contract Faculty and Academic Staff
- Maintain and update Interfolio system and share cases with appropriate people
- Assist in the scheduling and coordination of faculty and administration workshops related to the annual academic review cycle. Ensure the academic review letters and files are complete
- Ensure the academic appointment records in Workday are correctly updated following the completion of the cycle and for any amendments to dates made throughout the year through reporting and review of workday appointment records
Annual Faculty Activity Reporting
- Coordinate the communication of the annual faculty activity reporting process
- Ensure deadlines are met by coordinating follow-ups and reporting back to stakeholders on the completion of the process
- Collate and share results of submitted records with stakeholders
Faculty Leave
- Coordinate annual faculty leave communications from the provost office
- Review and collate forms received
- Coordinate approval process
- Enter records into workday
- Prepare and review leave reporting to stakeholders to inform processes such as
Academic Hiring Plan
Requests to NYU Office of the Provost and NYUAD Provost
- Collect and collate requests from academic appointments partners for review and approval of the Director of Academic Appointments and submission to NYUAD and NYU Provost Office such as tenure clock delay requests and lateral hires requests
- Track requests and ensure timelines are met and records are complete
- Provide additional support to the Director, Office of Academic Appointments as required
